    PRIVACY POLICY

    RJS Accounting Services Pty Ltd ACN 010 649 984 (RJS Accounting) is committed to treating the personal information we collect in accordance with the Australian Privacy Principles in the Privacy Act 1988 (Cth) (Privacy Act). This Privacy Policy sets out how RJS Accounting handles all personal information.

    This Privacy Policy does not apply to personal information collected by RJS Accounting that is exempted under the Privacy Act, for example employee records.

    RJS Accounting will modify this Privacy Policy if required to reflect its current privacy practices.

     

    PERSONAL INFORMATION – WHAT WE COLLECT

    The types of personal information we collect includes:

    • Contact Information & Personal Data: your name, date of birth, age, gender, address, email address, and telephone details.
    • Government Related Identifiers: your tax file number, Medicare number, Individual Healthcare identifier, Australian Business Number, director identification numbers and others.
    • Sensitive Information: In some circumstances, RJS Accounting may collect information that is considered sensitive information. For example, current financial and accounting information, legal information, information about family and entity structures, Centrelink eligibility and commitments.
    • Payment Details: your credit card, bank account details, and billing information to complete purchases.
    • Financial Details: your financial details and occupation, which may include budget information, wages/salary information, and general expenditure.
    • Employer & Profession: your professional details and information about your employer or an organisation you represent.
    • Identification Documents: your driver’s licence, passport or other photographic identification documents.
    • Employment Information: We collect personal information when recruiting personnel, such as your name, contact details, qualifications and work history. Generally, we will collect this information directly from you. We may also collect personal information from third parties in ways which you would expect (for example, from recruitment agencies or referees you have nominated). Before offering you a position, we may collect additional details such as your tax file number and superannuation information and other information necessary to conduct background checks to determine your suitability for certain positions.
    • Other Information: It may be necessary in some circumstances for RJS Accounting to collect sensitive information about you in order to provide specific services or for recruiting purposes.

    PERSONAL INFORMATION – HOW WE COLLECT IT

    We collect your personal information from you directly (for example, when we deal with you in person or over the phone, when you send us correspondence (including via email), when you complete a questionnaire or forms. Sometimes it may be necessary for us to collect your personal information from a third party.

    Purpose of Collection

    RJS Accounting collects, holds and uses personal information for a number of purposes including:

    • to provide professional services
      • to provide technology services and solutions
      •    to respond to requests or queries
      •    to maintain contact with our clients and other contacts
      •    to keep our clients and other contacts informed of our services
      •    to notify of seminars and other events
      •    for administrative purposes
      •    for recruitment purposes
      •    for purposes relating to the employment of our personnel, providing internal services or       benefits to our partners and staff and for matters relating to the partnership
      •    for seeking your feedback
      •    to meet any regulatory obligations
      •    for any other business related purposes

    Security of Personal Information

    Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure.

    When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information.

    However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 5 years.

    Your Personal Information may be disclosed in a number of circumstances including the following:

    • Third parties where you consent to the use or disclosure; and
    • Where required or authorised by law.

    KEEPING PERSONAL INFORMATION CURRENT

    If you believe that any personal information RJS Accounting obtains about you is inaccurate, not up-to-date, incomplete, irrelevant or misleading, you may request correction. Please contact us and we will take reasonable steps to correct it in accordance with the requirements of the Privacy Act.

    COMPLAINTS

    If you wish to make a complaint to RJS Accounting about our handling of your personal information, please contact us.  You will be asked to set out the details of your complaint in writing.

    RJS Accounting will endeavour to reply to you within 30 days of receipt of the complaint and, where appropriate, will advise you of the general reasons for the outcome of the complaint. If you are not satisfied with the outcome of your complaint, you can refer your complaint to the Office of the Australian Information Commissioner.
